Three-Room Webex Macro Automation with Mixed Analog and Digital Microphones

The Challenge
Haleon’s space is built from three rooms — 109A, 109B, and 109C — that don’t get combined often, but need to when they do. Room 109B acts as the anchor: it’s usually joined with 109A for regular use, and only occasionally with all three rooms together, a handful of times a year. The rest of the time, all three rooms need to run completely independently.
The added complication: the rooms aren’t on matching hardware. 109A and 109B are each fitted with four Cisco Ceiling Mic Pro units, but 109C still runs on five original analog ceiling microphones. Any mode-switching logic had to treat both mic types as part of the same coherent system — not work around the older room as a separate case.
Our Approach
We built the mode-switching logic into a custom Cisco Webex macro running on the Room Kit Pro, with a Room Mode page added to the Navigator panel. Rather than a full grid of options, the panel exposes buttons for the two modes actually needed: a combined mode joining 109A and 109B, and a full combined mode joining all three rooms — with each room defaulting back to independent operation when no mode is active.
The macro handles, per mode:
- Ceiling microphone activation and deactivation across both the digital Ceiling Mic Pro units in 109A/109B and the analog mics in 109C, so every room’s microphones come up or down correctly regardless of which hardware generation they’re on
- Standby mode on rooms taken out of independent use, stopping incoming calls so a room that’s now part of a combined session can’t also ring separately
- Navigator panel locking, where required, so a joined room’s local panel doesn’t compete with the master control point during a combined session
Because 109A+109B is the far more common combination and the full three-room join is rare, we built the logic so the everyday case stays simple and fast, without adding complexity to a mode that gets used only a few times a year.
The Result
Haleon can now combine 109A and 109B — or all three rooms — from a single panel, with microphones across two different hardware generations behaving as one coordinated system rather than two systems bolted together. Rooms revert to fully independent operation with no manual mic-by-mic reconfiguration required.
